Videoconferencing

Videoconferencing uses audio and video to bring people at different sites together for a meeting. This can be as simple as a conversation between two people in private offices (point-to-point) or involve several sites (multi-point) with many people in large rooms. Besides the audio and visual transmission of meeting activities, videoconferencing can also be used to share documents, computer-displayed information, and whiteboards.

Bridging (MCU) Services

Bridging, or Multipoint Control Unit (MCU) services, are available for creating videoconferences with 3 or more participants. There are three levels of service available, Automated Conferences, User-Dialed Conferences, and Ad-Hoc Conferences. To request a multi-point conference please submit an 'Event Request'.

Automated Conferences (Full Service)

Automated conferences must be requested three business days in advance. At the scheduled time VCS will dial out to all requested participants unless otherwise noted. A request made under three business days is still likley to occur, however VCS will provide the requestor with the connection information that participants will need to connect themselves. It will be up to the person requesting the conference to make sure all participants receive the connection information. Please request sites only if they wish to attend the conference.

Ad-Hoc Conferences (Do It Yourself)

Ad-Hoc multi-point conferences are available any time there are unscheduled resources. Scheduled conferences take priority and disconnect Ad-Hoc calls if additional resources are needed. See the Ad-Hoc conference instructions on the help tab for connection information.

Facilities & Equipment

Video Services rents both portable units and conference rooms.

Portable Unit / Cart Rental

Portable units and videoconferencing carts are available for rent. Most classrooms and other spaces on campus with high-quality network connections can be used for videoconferencing. VCS will transport the equipment, set it up, and show you how to use it. If you're not sure a room will work, VCS will come and test it for you.

Conference Room Rental

The following conference rooms are available for rent. Please contact VCS to inquire about using one of these conference rooms by calling 392-HELP.

Endpoint Certification Requirements

Endpoints that are certified will receive enhanced support and services from VCS. Endpoints must meet the requirements indicated below.

Requirements

  1. Submit basic endpoint information to VCS by filling out the form.

  2. The endpoint must be registered with the VCS gatekeeper:
    • H.323 Name (assigned by VCS)
    • H.323 Number (assigned by VCS)
    • Endpoint must remain registered with the GK (128.227.156.75)
    • Strongly recommended that endpoint is powered on and registered 24/7

  3. The endpoint must meet minimum software / hardware requirements:

  4. The Endpoint is under a maintenance contract unless it's 'end of life.

  5. Admin password must be set:
    • The admin password must be provided to VCS
    • Appropriate support personel must have the password
    • Password must not be the default password
    • Password must not be written on the device
    • Non-support staff should not have the password

  6. A successful initial test and periodic retesting must be completed with VCS staff.
    • Point-to-Point testing
    • Multi-point testing
    • Content sharing testing
    • Stability testing

Looking up a Conference ID number

Conference IDs of all scheduled conferences are listed on the Event Calendar. If you cannot find the conference you are looking for, please call VCS @ (352) 392-HELP.

Creating an Ad Hoc Conference

  1. Dial 7830000 from a registered videoconferencing unit.
  2. Use "far end" camera control to select "Create new conference" from the menu.
  3. Enter a 4 digit number for your conference. (Example: 1234)
  4. Enter a PIN number for your conference. You may leave this blank.
  5. Your conference ID is 783 + your 4 digit number. (Example: 7831234)

Connecting to a Conference

By IP (H.323)
  • UF registered VC units: Dial 7 digit conference ID (Example: 7831234)
  • Non registered units: Dial MCU IP - 128.227.156.83(most conferences) or 128.227.156.82. A specific conference will be on one or the other, but not both. Use far end camera control to select the conference from the menu.
By Phone/ISDN
  • Call (352) 273-4999. You will be prompted for an extension. The extension is the 7 digit conference ID number. (Example 7831234)
